1. Introduction

Welcome to RecAce. This Privacy Policy explains how Sharp Guys Web Design LLC, operating under the assumed business name RecAce ("Company," "we," "us," or "our"), collects, uses, stores, shares, and protects your information when you use our tennis and pickleball match tracking platform ("the Service"). By accessing or using RecAce, you agree to the collection and use of information in accordance with this policy.

Important: RecAce is provided as a recreational service. We make no guarantees about data permanence, availability, security, or accuracy. Please review the "Data Retention and Loss" section carefully.

2. Information We Collect

We collect the following categories of information:

a. Account Information

• Username
• Email address
• Password (stored using one-way cryptographic hashing; we cannot read your password)

b. Profile Information (voluntarily provided)

• Display name, bio, skill level, NTRP rating
• Favorite sport preference (Tennis, Pickleball, or Both)
• Location
• Public/private profile preference

c. Match and Activity Data

• Tennis and pickleball match records you voluntarily enter (dates, scores, opponents, partners, venues, surfaces, match categories, tournament names, locations, etc.)
• Private match notes (encrypted with AES-256-CBC encryption)
• Social interactions: friend/rival connections, club memberships, challenge participation, leaderboard opt-ins
• Opponent attributes: handedness, personal scouting notes

d. Payment Information (Pro subscribers only)

• Subscription status, billing dates, and plan details
• Payment card information is processed and stored exclusively by Stripe, our third-party payment processor. We do not directly store, access, or have visibility into your full credit card number, CVV, or payment card details

e. Information You Provide About Others

• Email addresses of people you invite to RecAce through the "Invite a Friend" feature
• Recipient email addresses when you share match results or other content via email

We use these email addresses solely to send the invitation or shared content on your behalf. We do not add these addresses to marketing lists or share them with third parties.

f. Automatically Collected Information

• IP address, browser type, device type, operating system
• Pages visited, time spent on pages, referral sources (via Google Analytics)
• Local storage data (theme preferences, session tokens, filter settings)

3. How We Use Your Information

• To provide, operate, and maintain the RecAce service
• To authenticate your account and secure your data
• To display your match statistics, analytics, ELO ratings, and other calculated data
• To enable social features: friends, rivals, clubs, challenges, leaderboards, activity feeds, and public profiles
• To process Pro subscription payments via Stripe
• To send transactional emails (password resets, subscription confirmations) when requested or necessary
• To send invite emails on your behalf when you use the "Invite a Friend" feature
• To deliver shared content (match results, profile links) via email to recipients you specify
• To send social notifications (friend requests, challenge invitations, club updates) based on your notification preferences
• To improve the Service through anonymous, aggregated usage analytics
• To detect and prevent fraud, abuse, or violations of our Terms of Service
• To comply with legal obligations

4. Data Sharing and Disclosure

We do not sell your personal data. We do not sell, rent, or trade your match records, personal information, or any other user data to third parties for marketing or advertising purposes.

We may share your information in the following limited circumstances:

• With other users (by your choice): If you use social features (public profiles, clubs, leaderboards, challenges, friend connections), certain information you choose to share will be visible to other users of the Service. You control your profile visibility (public/private) and leaderboard participation (opt-in)
• Service providers: We share data with essential service providers necessary to operate the Service, including our web hosting provider (for server infrastructure), Stripe (for payment processing), and email delivery services (for transactional, invitation, sharing, and notification emails). These providers are contractually obligated to use your data only for the purposes of providing their services to us
• Analytics: Anonymous, aggregated usage data is collected via Google Analytics. This data cannot identify individual users
• Legal requirements: When required by law, subpoena, court order, or other legal process
• Safety and enforcement: When necessary to protect our rights, safety, or property, or the rights, safety, or property of our users or others
• Business transfers: In connection with a merger, acquisition, asset sale, reorganization, or other business transfer (see Section 8)

5. Data Retention and Loss

We retain your data for as long as your account is active or as needed to provide the Service. You may delete your account and all associated data at any time by using the "Clear All Data" function in the app or by contacting us at support@recace.com.

After account deletion, we may retain certain data in anonymized or aggregated form for analytics, legal compliance, or legitimate business purposes. Backup copies may persist in our systems for a reasonable period before being permanently deleted.

6. Data Security

We implement industry-standard security measures to protect your data, including:

• Passwords are hashed using one-way cryptographic hashing (we cannot read or recover your password)
• Private match notes are encrypted with AES-256-CBC encryption
• All data is transmitted over HTTPS (TLS/SSL encryption)
• SQL injection prevention through parameterized queries
• Bearer token authentication for API requests
• Environment-based configuration to protect secrets

However, no method of electronic storage or transmission over the Internet is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee its absolute security. We are not liable for unauthorized access to, or breach of, your data, regardless of the cause.

7. Cookies, Local Storage, and Tracking

We use cookies, local storage, and similar technologies to:

• Maintain your authentication session (keep you logged in)
• Remember your preferences (dark/light theme, filter settings)
• Store session tokens for API authentication
• Collect anonymous usage analytics (Google Analytics)

You can disable cookies and clear local storage in your browser settings. Doing so may limit the functionality of the Service and require you to log in each time you visit.

8. Business Transfers and Ownership Changes

RecAce is currently operated by Sharp Guys Web Design LLC. In the event of a merger, acquisition, asset sale, reorganization, bankruptcy, or other business transfer, your personal data and account information may be transferred to the successor entity as part of the transaction. You acknowledge and consent to such transfers. The successor entity's use of your data will be subject to their privacy policy, which may differ from this one.

RecAce may also be spun off into a separate legal entity or incorporated into a different business structure at any time. We will make reasonable efforts to notify users of material changes to the entity operating the Service, but are not legally obligated to do so.

9. Third-Party Services

RecAce uses the following third-party services, each with their own privacy policies:

• Stripe: Payment processing for Pro subscriptions. Stripe stores and processes payment card details. See Stripe's Privacy Policy
• Google Analytics: Anonymous website usage statistics
• Google Fonts: Typography (may collect IP addresses)
• Tailwind CSS CDN: Styling framework
• Chart.js: Data visualization library
• Vimeo: Embedded video hosting
• Anthropic (Claude): Powers the optional AI features described in Section 10. Processes only the data you submit when you choose to use those features. See Anthropic's Privacy Policy
• Email delivery service: Sending transactional, invitation, sharing, and notification emails on our behalf
• Web hosting provider: Server infrastructure and data storage

We are not responsible for the privacy practices, availability, or security of any third-party service. Your interactions with third-party services are governed by their respective privacy policies and terms.

10. AI Features

RecAce offers optional AI features, grouped in the app as the RecAce Magic Shop. These include the Crystal Ball (a scouting report and predicted win chance for an upcoming match) and Magical Match Entry (turning a description you write or dictate into a filled-in match entry). These features are powered by Claude, an AI service provided by Anthropic.

Nothing is sent to Anthropic unless you use one of these features. They run only when you actively request them. If you never open the Magic Shop, none of your data is ever sent to Anthropic.

When you do use them, here is exactly what leaves our servers:

• Crystal Ball: Statistics we calculate about you and the opponent you name, including your win/loss record against them, match dates and scorelines, surfaces and venues, your self-reported rating and any rating you recorded for that opponent, and the private notes you wrote about that opponent or about individual matches against them
• Magical Match Entry: The description you type or dictate, the sport you selected, today's date, and the list of opponent names you have logged, so the feature can reuse your existing spelling instead of creating a duplicate opponent

We do not send your name, email address, password, payment details, other users' account information, or your match history beyond what is described above.

Match notes and opponent notes are encrypted at rest in our database. When you request a Crystal Ball report, the relevant notes are decrypted on our server so they can be included in the request. If you would prefer your notes never leave our servers, do not use the Crystal Ball, or keep tactical observations out of your notes.

Anthropic processes this data to generate a response and does not use data submitted through its API to train its models. Anthropic's handling of the data is governed by its own privacy policy and terms, linked in Section 9. We do not control Anthropic's retention periods.

For our own cost tracking and abuse prevention, we log metadata about each AI request: the user account, which feature was used, the model, token counts, estimated cost, response time, and whether the request succeeded or failed. We do not store the content of AI requests or responses. Reports and parsed matches are shown to you and are not retained by us unless you choose to save a match, which is stored the same way as any other match you enter.

11. Children's Privacy

RecAce is not intended for users under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at support@recace.com and we will take steps to delete such information. If we become aware that we have collected personal information from a child under 13, we will delete it promptly.

12. Your Rights and Choices

Depending on your jurisdiction, you may have the following rights:

• Access: View your personal data through your account dashboard and profile
• Export: Download your match data at any time via the Export functionality (Excel, CSV, or PDF for Pro users)
• Correction: Edit your profile information and match records directly in the app
• Deletion: Delete your account and all associated data using the "Clear All Data" function or by contacting us
• Profile visibility: Control whether your profile is public or private
• Leaderboard participation: Opt in or out of leaderboards at any time
• Email preferences: Manage your notification email preferences in your account settings. You may opt out of social notification emails at any time. Transactional emails (password resets, subscription confirmations) cannot be opted out of while your account is active, as they are necessary for account operation
• Analytics opt-out: Disable Google Analytics tracking via browser settings, browser extensions, or ad blockers

To exercise any of these rights, use the relevant in-app functionality or contact us at support@recace.com. We will respond to legitimate requests within a reasonable timeframe.

13. California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights regarding your personal information. These include the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of personal information. We do not sell personal information. 14. International Users

RecAce is operated from the United States. If you access the Service from outside the United States, you understand and consent to the transfer of your personal data to the United States and its processing in the United States. Data protection laws in the United States may differ from those in your jurisdiction. By using the Service, you consent to such transfer and processing.

15. Limitation of Liability for Privacy Matters

To the maximum extent permitted by applicable law, Sharp Guys Web Design LLC shall not be liable for any damages arising from: unauthorized access to or disclosure of your data; data breaches caused by third parties; loss, corruption, or deletion of your data for any reason; actions of other users who access information you have made public; or any failure of security measures, regardless of cause. Our total liability for any privacy-related claim shall not exceed the amounts set forth in our Terms of Service.

16. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the Service, legal requirements, or business operations. Changes will be posted on this page with an updated "Last Updated" date. We may also notify users of material changes through the Service or by email. Your continued use of RecAce after any changes to this Privacy Policy constitutes your acceptance of the updated policy. We encourage you to review this page periodically.
